AN ENHANCED AND SECURED ELECTRONIC DOCUMENT MANAGEMENT SYSTEM

ABSTRACT

Paper-based storage and management of documents is typically seen as a manual process that has several inefficiencies and problems with productivity, such as extensive time requirements, mistakes, and redundancy during information gathering, archiving, and retrieval. In the institution, producing documents with computer support has become standard procedure, but the management of documents are still done manually. It is also important to note that issues with document security, control, tracking, and retrieval have gotten worse as a result of the growing volume of documents being produced, published, and distributed around the institution. An enhanced and secured electronic document management system (SEDoMS) was created in this effort. The client side of the system was coded using HTML, CSS, and JavaScript, the server side was scripted using PHP, and MySQL was used as the database server. The documents were encrypted using the Advanced Encryption Standard (AES) technique to protect them from unauthorized users. The system was tested using records of Olusegun Agagu University of Science and Technology's, and the results indicate that it makes documents and records available to users whenever and wherever they need them and enables simple user-document interaction. Additionally, it works well for the processes of sharing and retrieving data. The system is well-structured, more effective, secure, and durable.
